Main purposes of the job

The Assistant Facilities Manager role is to assist the Building Services Manager and the Building Services Team.  This includes providing a suitable, safe and cost-effective working environment for staff, plus an impressive image to visiting clients.

It will include aspects of management, provision of technical guidance and advice, as well as active involvement.

Along with the Building Services team you will:

  • Assist in managing building projects working together with the Building Services Team
  • Work closely with the Building Services Senior Administrator, to ensure all PPM schedules and reactive works are carried out and completed on time.
  • Assist in maintaining the buildings and their services using best practice, over the whole range of building issues, including making modifications and improvements
  • Ensure that the buildings comply with all applicable legislation related to safety, energy, building regulations and environmental issues
  • Manage contractors for providing specialist M + E services and PPM schedules, manned guarding along with maintaining specialist equipment
  • Assist with managing the Building Services Team, workloads, budgets, defining of priorities and coordinating with the Facilities Manager

Type of work undertaken

Our buildings consist of 192,119 square feet of offices, labs and workshops, with an extensive range of specialist facilities and services. These are a mixture of old and new buildings across three sites.

The Building Services Team provides a day-to day service including a very wide variety of routine and one-off tasks:

  • Management of all building projects
  • Provision of IT and networking services which require coordination
  • Support to CC project work as required
  • Repairs and routine servicing
  • Manage and initiate minor improvement projects
  • Management of contractors for all larger works

Management of contracts for those services provided by established contractors, to defined schedules and targets.

In conjunction with the Security Manager, fully maintain the electronic security and alarm systems, to ensure they are fully effective, front-line fault finding, and that they achieve the targets set. This will include working with others to ensure that the systems are configured appropriately and used effectively. You will also be an active contributor to the handling of emergencies.

Due to the nature of the work, flexibility on working hours will be required, as some work can only be carried out outside normal working hours to avoid disruption. Your high level of involvement will include sometimes getting hands-on to assist the Building Services Team with some activities.

Specific responsibilities

  • Assist in the management of all building projects including the construction of new buildings and refurbishment of existing ones. This includes working with our external contractors
  • Assisting with running and line managing the Building Services Team
  • Assist with managing, reviewing and identifying Building Services contractors for specified specialist services
  • Identifying and managing minor building improvements and upgrades
  • Assist with managing H&S and environmental issues in all the above activities in conjunction with the Health & Safety Manager
  • Supporting other Support Managers in running the fire alarm and electronic security systems, coordinating particularly with H&S and IT Managers
  • Ensuring assistance by phone or call out cover in response to calls from security guards, the Police, or other emergencies
  • Become part of the Out of Hours Co-ordinating Team for emergency response (approx. 5/6 duty weeks per year)
  • Keeping all building and services documentation up to date and available
  • Your job will include aspects of management plus technical guidance and advice, as well as getting very actively involved

Minimum requirements

  • You are a practical and logical person
  • Have a good understanding of a wide range of practical building construction and maintenance
  • A background which is likely to have good knowledge in construction and maintenance
  • Experience of providing a facilities service in a moderate sized organisation, with familiarity of relevant regulations and good practice
  • Have experience of managing projects in the construction industry. A background in M&E is essential.
  • Can work with infrequent supervision, to make decisions under (sometimes considerable) pressure
  • Experience of successfully managing or assisting to manage a team (advantageous)
  • Have a positive energetic can-do attitude, be prepared to take on whatever issues arise
  • Will be motivated by the desire to provide a service and allow other staff to function efficiently
